Privacy Policy
Last updated: 2026-09-30
1. Introduction
This Privacy Policy explains what information Cluby collects when a Club uses our platform to manage players, guardians and staff, and how that information is used, stored and shared.
2. Who This Policy Covers
This policy applies to Club staff, players, and their parents or guardians whose information is entered into Cluby by a Club. Each Club is responsible for having a lawful basis and any consents needed (including from a parent or guardian, for a minor) before entering someone’s information into the Service.
3. Information We Collect
Depending on how a Club uses Cluby, this can include:
- Identity and contact details: name, birth date, phone number, FAF licence number, photos and similar profile information for players, guardians and staff;
- Blood type, when a Club chooses to record it with explicit consent, entered voluntarily for player safety. Cluby keeps no other health details;
- Club activity: attendance, sessions, match statistics, categories and similar records;
- Payment records: Cluby does not process payments; it only stores the records a Club enters by hand for its own bookkeeping (amount, date, method), never card or bank account details;
- Communications: announcements and push notifications sent through the Service;
- Technical data: what is needed to run the Service securely, such as session cookies, push notification tokens and error reports.
4. How We Use Information
Information is used only to run the features a Club relies on: membership and attendance, notifications, the Club’s own payment records, and keeping the Service secure and working.
5. Guardian Consent for Minors
Much of the information in Cluby concerns minors. A Club and the parent or guardian registering a player are responsible for making sure the right consent is in place before that player’s information is entered into the Service.
6. Who Processes Information for Us
We don’t sell personal information, and we don’t share it for advertising. To run the Service, trusted private service providers process information on our behalf, for:
- hosting of the application and its database, stored files (such as photos) and sign-ins;
- error reports, so we can fix problems;
- a check that the club sign-up form and the join form are filled in by a person, not a robot;
- the browsers’ push services, to deliver notifications to the devices where you turned them on.
They are trusted private providers, bound to use the information only to provide these services for us and to keep it secure.
7. Data Storage and Security
Each Club’s data is kept separate from every other Club’s, is encrypted in transit, and administrative access is restricted. No system is perfectly secure, but we take reasonable steps to protect the information in our care.
8. Data Retention
How long Cluby keeps each kind of data:
- Club data
- As long as the Club uses Cluby. If the Club stops using Cluby, its data is deleted after 1 year when it holds player records, or after 3 months when it holds none or its owner never confirmed their email, unless the Club asks us to keep it longer.
- Sign-in accounts (owners, staff, families): email or phone number, name, password (stored hashed)
- As long as the account is used. An account unused for 3 months is deleted, unless its holder or the Club asks us to keep it longer. It is also deleted when the Club removes it or deletes the Club.
- Member records (players, staff, guardians): identity, contact details, blood type, attendance, evaluations
- While the person is with the Club. Two years after they leave, everything that identifies them is removed automatically; the Club can remove it sooner.
- Join requests that were not accepted
- Deleted two years after they were sent.
- Children who came to try a session (the name and a parent’s phone the coach noted)
- Deleted two years after the session. Removed sooner when the child’s or the parent’s details are removed.
- The Club’s own payment records (fees, receipts, cash book)
- As long as the Club keeps its books on Cluby. A member’s name is removed from them when that member’s details are removed.
- Cluby’s invoices and Clubs’ payments to Cluby
- 10 years after the end of the financial year, as Algerian commercial and tax law requires, even if the Club is deleted.
- History of changes (audit trail)
- 3 years for financial records, 1 year for everything else.
- Technical error reports
- Up to 90 days. They contain no name or email address.
- Security records: sign-in attempts and sign-up IP addresses
- 24 hours for sign-in attempts, 90 days for IP addresses.
- Support tickets and replies
- Deleted two years after the ticket is closed.
- Devices registered for notifications
- Until notifications are turned off, or after a year without use.
- Consent records
- Kept as proof of consent. Once a person’s details are removed, only the answers and their dates remain, with nothing that identifies them.
- Visit statistics
- Page counts only, never linked to a person.
When a Club is deleted, all of its members’ data is deleted with it, except Cluby’s invoices and the payments made to Cluby. When a retention period ends, the data is permanently deleted or stripped of anything that identifies the person. A Club can ask us at any time to export or delete all of its data, or to keep it longer.
9. Your Rights
Under Algerian Law 18-07 on the protection of personal data, you can ask to be informed about, access, correct or object to the processing of your personal information. Since a Club controls the information entered about its players, guardians and staff, please start by contacting your Club; you can also reach us at the address below.
10. Cookies and Local Storage
Cluby uses session cookies to keep you signed in, and browser storage for basic preferences (like your language). Club dashboards and the Family Portal use no advertising cookies.
The anti-robot check on the club sign-up form and the join form may set its own cookies to tell people from robots. Error reports are sent from your browser when something goes wrong. If we turn it on, an advertising measurement tool runs only on our public home page and club sign-up page, and sets its own cookies there; it is never loaded in club dashboards or the Family Portal.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
